1. Introduction
This Privacy Policy explains how CanineCase collects, uses, stores, and shares information when you use our website and software (the “Service”). CanineCase is operated by an individual entrepreneur registered in Georgia, trading as CanineCase.
By using the Service, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Service.
2. Information we collect
We collect the following types of information:
- Account information: such as your name and email address when you register.
- Content you create: dog records, client and owner contact details, session notes, package information, and payment-status records you enter into the Service.
- Voice recordings: audio files you upload for transcription and note structuring.
- Usage data: such as log data, device and browser type, IP address, and how you interact with the Service, collected to operate and improve the product.
We do not intentionally collect payment card numbers. Payment card details are handled by Paddle and are not stored by CanineCase.
3. How we use information
We use the information we collect to:
- Provide, maintain, and improve the Service.
- Transcribe voice recordings and structure session notes using AI.
- Send transactional emails and owner communications you approve.
- Process subscription payments through Paddle.
- Respond to support requests and communicate with you about your account.
- Monitor for abuse, troubleshoot issues, and protect the security of the Service.
4. Third parties and sub-processors
We use trusted third-party providers to operate the Service. They process data on our behalf only as needed to perform their function:
- Supabase: database, authentication, and storage/hosting of user data.
- OpenAI: AI voice transcription (Whisper) and note structuring (GPT).
- Resend: transactional and owner email delivery.
- Vercel: website and application hosting.
- Paddle: payment processing as Merchant of Record; your card statement will show “Paddle,” not “CanineCase.”
These providers may process data in countries other than your own. We require them to handle data in accordance with applicable law and our instructions.
5. Cookies
CanineCase uses only the cookies necessary to make the service work. We do not use advertising cookies or third-party tracking.
The cookies we rely on are:
- Authentication cookies: set by our authentication provider (Supabase) to keep you securely logged in. Without these, you could not stay signed in to your account.
- Payment cookies: set by our payment provider (Paddle) during checkout to process your subscription securely. These are only active in connection with billing.
These are considered strictly necessary cookies and are required for the service to function. Because we do not use analytics, advertising, or tracking cookies, CanineCase does not display a cookie consent banner. If we introduce any non-essential cookies in the future, we will update this policy and ask for your consent where required.
You can clear or block cookies in your browser settings, but doing so may prevent you from logging in or using CanineCase.
6. Data retention and deletion
We retain your information for as long as your account is active or as needed to provide the Service. If you cancel, we may retain certain information for a limited period as required for legal, billing, or security purposes.
You own your data. You can export your information from the Service before cancelling, and you may request deletion of your account and associated data by contacting hello@caninecase.com. We will process deletion requests within a reasonable timeframe, subject to any legal obligations to retain certain records.
7. Your rights
Depending on where you live, you may have rights regarding your personal information, including the right to access, export, correct, or delete your data, and to object to or restrict certain processing.
These rights may apply to users in the United States, United Kingdom, Canada, Australia, the European Economic Area, and other jurisdictions. To exercise your rights, contact us at hello@caninecase.com. We will respond within a reasonable timeframe as required by applicable law.
8. Data security
We use reasonable technical and organizational measures to protect your information, including encryption in transit and access controls. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. International data transfers
CanineCase is operated from Georgia. Your information may be transferred to and processed in countries other than your own, including countries where our sub-processors operate. When we transfer data internationally, we take steps designed to protect it in accordance with this policy and applicable law.
10. Children's privacy
The Service is intended for professional adults running a dog behavior training practice. It is not directed at children under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will take steps to delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will post the updated policy on this page and update the “Last updated” date. Your continued use of the Service after changes take effect constitutes acceptance of the revised policy.
